Working directly with a clinical AI founder to replace WordPress, connect the website to HubSpot, and develop a custom admin portal.

The problem
A website that was difficult to change.
Ophthalytics’ previous WordPress site had been built by a design agency. The agency considered the project complete, but the founder still needed updates. Coordinating those changes had become difficult, limiting how easily the site could evolve with the business.
I proposed rebuilding it from scratch so we could work directly together and make changes more easily. The founder agreed. Keeping a familiar WordPress-style editor was an important requirement for the new site.

The approach
Planning the editor and the lead pipeline.
The new site’s content still lived in code. The CMS proposal worked through how staff could edit it while keeping the custom layouts intact. I proposed starting with one footer edit, using it to prove the preview and approval process before expanding the editor to other content.
The HubSpot brief documented the form integration and what could happen next. Lead notifications were a settings change; tracking needed a consent decision. It also identified which reporting features were available on the existing subscription and how CRM data could feed the planned admin dashboard.

The hard part
Easy editing, with control over what goes live.
The founder’s request for a familiar editor became a proposal for a custom content management system. Staff would update text, images, and approved page sections, then preview and submit their changes for review. Reusing the site’s components keeps the design consistent.
Behind that interface, Git would preserve the history of each change and approval. The planned admin portal brings the editor together with an activity feed and analytics dashboard. It is now in development.
Designing the analytics workspace.
The dashboard brings traffic sources, campaign attribution, and on-page interactions into one workspace. This prototype explores the analytics side of the admin portal, alongside the editor and publishing tools.

Connecting inquiries to follow-up.
The HubSpot integration I built connects contact, demo, and newsletter forms to the team’s CRM. Each submission keeps its source page and message; demo requests also capture product interest. Repeat submissions update the same contact, keeping the history together.
Contact and demo requests notify the founder, and a HubSpot dashboard sends a weekly lead summary. This connection also provides the foundation for reporting in the custom admin portal.

Outcome
An ongoing role beyond the launch.
The replacement website and HubSpot integration are live. Work now focuses on the admin portal, extending the same partnership from the public experience to the tools the team uses to run it.
